  • Multiple Fax Machines in a Single Location

We have several offices where we are running faxes through the ShoreTel system. Users often (still) forget to dial 9 to send their fax (previously on POTS). All of the users are set to redirect faxes to the site fax extension.

What happens is, though, when a user dials say, “5551212” on the fax machine, without dialing 9, it redirects and says “that extension is not valid”. It seems as though that announcement is redirecting to the site fax machine, and it is coming out of another machine in the office. The fax gets confirmed, our person thinks it went through, only to learn an hour later (hopefully) that it showed up on the other side of the building instead of the destination they had intended.

Anybody have a suggestion for a workaround to specify these fax machines’ calls should not be redirected to the site fax machine? Each fax line “user” is listed in Director as being “Connected to Fax Machine, Do Not Redirect…”

    Thanks!

For our real estate clients, we clearly label the fax machines. Outside of switching them to POTS lines, it's the best you can do right now. Some Agents just can't be helped... You using a fax server yet? We have a large real estate office (200+ agents) that we integrated a fax server into the system and they love it. They hand out a DID for every transaction (obviously recycle the numbers at the close) that is open.

Thanks for the response, Chris. I may submit this for a change. Agents can be a little forgetful sometimes, though ;-)

We are running a fax server, never thought about a DID per transaction, but that would be a group of probably 4,000 DIDs we'd need to have on hand to be safe from concurrent transactions! Fax server rocks, though we currently only use it for fax-to-email, and fax-to-secure intranet.
